Last updated: May 2026
Hole Farm Caravan Site ("we", "us", "our") is committed to protecting your personal data and respecting your privacy. This policy explains what information we collect, how we use it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
We are the data controller for the personal information you provide to us. If you have any questions about this policy, please contact us at stay@holefarm.co.uk.
What information we collect
When you submit a booking enquiry or general enquiry through our website, we collect the following information:
- Your name
- Your email address
- Your preferred arrival and departure dates (booking enquiries)
- The number of people in your party (booking enquiries)
- Details of your caravan or motorhome (booking enquiries)
- Any message or additional information you choose to provide
We do not use tracking cookies, advertising networks, or analytics tools. We do not collect any financial or payment information through this website.
How your information is submitted
Our enquiry forms use your device's email application (via a mailto: link) to send your enquiry directly to us. A copy of your submission is also saved locally on your own device in your browser's local storage — this data does not leave your device automatically and is not transmitted to any server operated by us or a third party.
How we use your information
We use the information you provide solely to:
- Respond to your booking or general enquiry
- Confirm and manage your booking
- Contact you about your upcoming stay if necessary
We will never sell your data, share it with third parties for marketing purposes, or use it for any purpose other than responding to your enquiry and managing your booking.
Legal basis for processing
We process your personal data on the basis of legitimate interests — specifically, to respond to your enquiry and manage bookings — and, where a booking is confirmed, on the basis of contract performance.
How long we keep your information
We retain personal data contained in booking correspondence for up to three years after your stay, in case of any follow-up queries or disputes. Enquiries that do not result in a booking are kept for up to twelve months. We then securely delete this information.
Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — ask us to correct any inaccurate data
- Erasure — ask us to delete your data where there is no legitimate reason for us to continue holding it
- Restriction — ask us to restrict how we use your data
- Objection — object to our processing of your data on grounds of legitimate interests
- Portability — request your data in a structured, machine-readable format
To exercise any of these rights, please email us at stay@holefarm.co.uk. We will respond within one calendar month.
Complaints
If you are unhappy with how we have handled your personal data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK supervisory authority for data protection issues. You can contact the ICO at ico.org.uk or by calling 0303 123 1113.
Changes to this policy
We may update this privacy policy from time to time. Any changes will be published on this page with a revised "last updated" date.
